Standards for using EduSwap appropriately

1. Purpose

This Acceptable Use Policy outlines the responsibilities, expectations and prohibited behaviours for users of the EduSwap platform.

Its purpose is to support safe, lawful and responsible use of EduSwap, protect schools from fraud and misuse, maintain alignment with Australian privacy laws and Department of Education expectations, and promote professional conduct across the platform.

Compliance with this Policy is a condition of accessing and using EduSwap.

This Policy should be read together with EduSwap’s Terms of Service, Privacy Policy and other platform policies.

2. Scope

This Policy applies to all registered EduSwap users, school staff, authorised representatives, and all use of listings, communications, transactions and platform features.

EduSwap is intended for authorised school-based users only.

Students, parents and members of the general public are not permitted to use the platform.

3. User responsibilities

Use the platform only for legitimate school-related purposes.

Ensure information entered into listings, messages and account records is accurate, lawful and not misleading.

Communicate respectfully, professionally and in good faith.

Register using an authorised school email address and keep account credentials secure.

Comply with school, Department and system-level procurement, safety, disposal and transfer requirements.

Report suspicious, inappropriate or unsafe behaviour to EduSwap promptly.

4. Acceptable use

Listing surplus, unused or approved school-owned equipment and resources.

Acquiring items for legitimate school purposes.

Arranging approved swaps, donations, rentals, leases or sales between schools.

Communicating with other authorised users through approved platform features.

Supporting school resource management, reuse and operational efficiency.

5. Prohibited activities

Posting, transferring or facilitating items that are illegal to sell, transfer or possess.

Listing items without the appropriate school approval or in breach of procurement or asset disposal rules.

Impersonating a person, school or organisation, or creating false, misleading or duplicate accounts.

Interfering with platform operations or attempting to gain unauthorised access to systems, data or accounts.

Listing weapons, replica weapons, hazardous chemicals, dangerous goods, recalled electrical items, unsafe equipment, unlawfully transferrable regulated items, personal property not owned by the school, or inappropriate non-educational material.

Sending abusive, harassing or inappropriate messages, soliciting personal information, advertising unrelated commercial services, or conducting personal sales for private profit.

Uploading malware, malicious code, harmful files, or using scraping or automated data extraction tools against the platform.

6. Data handling expectations

Ensure listed items and uploaded materials comply with applicable privacy, safety and compliance expectations.

Remove personal information from uploaded images, files and descriptions before posting.

Users must take reasonable care not to upload personal information, sensitive information, or other unnecessary identifiable material in listings, images, files or communications.

EduSwap may remove content that creates privacy, safety or compliance risks.

7. Transaction conduct requirements

Accurately describe items and disclose known defects, limitations or issues.

Honour agreed swaps, sales, rentals, leases and donations in a professional manner.

Arrange safe packaging, collection, dispatch or handover processes as appropriate.

Follow school and departmental disposal, transfer and procurement requirements throughout the transaction lifecycle.

EduSwap is not responsible for disputes between schools and does not replace school due diligence.

8. Monitoring and enforcement

EduSwap may monitor and review platform activity as reasonably necessary for safety, compliance, fraud prevention, security and operational integrity.

EduSwap may review, restrict, remove or moderate content that appears to breach this Policy or related platform rules.

EduSwap may suspend or terminate accounts, notify relevant schools or Departments of Education in serious cases, and cooperate with investigations, reviews or audits where required.

9. Reporting misconduct

Users should report suspicious behaviour, unsafe or prohibited listings, attempts to bypass security controls, harassment, inappropriate communication, privacy concerns or potential data breaches.

10. Breaches of this policy

Consequences for breaching this Policy may include content removal, account suspension or termination, notification to school leadership, referral to relevant authorities where appropriate, and other action reasonably necessary to protect users, schools or the platform.

EduSwap may act quickly where a listing, message, behaviour or account creates safety, legal, privacy or reputational risk.

11. Policy review and updates

This Policy may be updated from time to time to reflect platform changes, legal requirements, operational learnings or Department expectations.

Updated versions will display a revised last updated date.

Continued use of EduSwap after an update indicates acceptance of the revised Policy.
