Why does our school need to claim an account?

EduSwap is designed for school-to-school use. Claiming your school helps make sure listings, messages, invoices and transactions are connected to the correct school account rather than an individual staff member’s personal profile.

Who should manage the school account?

A principal, business manager or authorised staff member is usually best. Schools can invite other team members later, but finance and payment setup should ideally be reviewed by someone who understands school administration.

Can we start browsing before everything is complete?

Yes. Schools can browse listings and explore EduSwap before every setup step is finished. Some actions, especially paid listings, leasing and Premium tools, require extra details so transactions stay clear and finance-ready.

Stripe and school payouts

Why does EduSwap use Stripe?

EduSwap uses Stripe Connect so schools can receive secure payments for paid marketplace activity. Stripe is used to handle sensitive payment and payout details rather than EduSwap storing bank account information itself.

Does EduSwap store our school’s bank details?

No. Stripe handles bank and payout setup through its secure onboarding process. EduSwap stores the connection status needed to know whether your school is ready to receive marketplace payouts.

Why are we taken away from EduSwap during Stripe setup?

That is expected. Stripe collects the required payout information on its own secure setup pages, then returns you to EduSwap once the process is complete or ready to continue.

Who should complete Stripe setup?

This is usually best completed by the school business manager, finance officer or another authorised staff member who can provide the correct payout and verification details.

Why does EduSwap ask for supplier billing details?

Supplier billing details help EduSwap create clear school-to-school transaction records, including invoices and receipts. They help both schools understand who the transaction is with and make record keeping easier for business managers.

Are supplier billing details public on Browse?

No. Supplier billing details are used for transaction paperwork and account setup. They are not shown as open public contact details on the Browse page.

Why do we need these details before selling or leasing?

Paid listings and lease bookings need clear invoice-ready information before they go live. This helps prevent messy transactions later and gives both schools a more professional record of the exchange.

Can billing details be updated later?

Yes. Schools can update billing details from the billing settings area if contact, address, ABN or GST information changes.

Exclusive and pooled leases

What is an exclusive lease?

An exclusive lease means one school books the whole listing for the selected dates. It is best when the resource should stay together or only one school can use it at a time.

What is a pooled lease?

A pooled lease means schools can book part of a larger quantity. It is useful when your school has a group of similar resources and another school only needs some of them.

What are examples of exclusive leases?

Good examples include a robotics kit, coffee machine, trailer, full class set, sports kit or any item that should be kept together for one booking.

What are examples of pooled leases?

Good examples include 10 iPads, 30 chairs, 50 costumes, 20 calculators, tubs of shared equipment or resources that can be hired in smaller quantities.

Which lease type should I choose if I’m unsure?

Choose exclusive if the item should stay together. Choose pooled if different schools can book different quantities from a larger group.

Free and exchange-based listings

How do donation listings work?

Donation listings allow schools to offer useful resources at no cost. The owner school can mark the item as donated once the resource has been passed on, which removes it from active Browse listings.

How do swap listings work?

Swap listings let schools exchange resources instead of buying or selling. A swap can be temporary, such as swapping class sets for a term, or permanent, such as exchanging resources your school no longer needs.

Are swaps temporary or permanent?

EduSwap supports both. Schools should clearly state whether the swap is for a set period and will be returned, or whether it is a permanent exchange of ownership.

What should we include in a swap listing?

State what your school is offering, what you are looking for in return, whether the swap is temporary or permanent, the expected return timing if temporary, and any condition or transport expectations.

Why are some contact details locked?

EduSwap uses account and plan controls to protect the marketplace and reduce the chance of schools bypassing the platform. Premium access unlocks extra school-to-school contact and transaction tools.

EduSwap keeps transactions connected to school accounts, uses setup checks before paid activity, supports invoice-ready records, and avoids showing open public billing details on Browse.

What does school verification mean?

Verification helps show that a school account has been reviewed or recognised as a trusted school account. It is designed to give users more confidence when browsing or interacting with listings.

What should we do if something looks wrong?

Pause before completing the transaction and contact EduSwap support. Schools should not proceed with payments, pickup or handover details if the listing, account or communication feels unclear.
